Office Services Coordinator/File Clerk

Goldberg Segalla, a dynamic and rapidly growing law firm with a national and international practice, seeks a highly motivated and organized individual to join its team as an Office Services Coordinator/File Clerk in its Newark office.

Job Description:
 

  • Provide direction and coordination of file room with other file room staff
  • Maintain and order supplies
  • Keep supply and mail rooms neat and organized
  • Post outgoing mail throughout the day
  • Gather and send interoffice mail
  • Ensure kitchen/lunch room is clean
  • Call for service if copy machines are out of order
  • Call building maintenance when needed
  • Special projects for attorneys / secretaries /paralegals, including printing color copies or legal documents
  • Ensuring proper appearance of office space
  • Copy/burn CD/DVDs when needed
  • Evidence room tracking and organization
  • Request building cards or keys
  • Coordinate furniture requests with the Firm’s Operations Manager
  • Sorts incoming records by identifying, indexing and filing documents under their respective client and matter numbers
  • Scans, saves and organizes documents to the firm’s Document Management System
  • Routinely processes closed files for storage maintained in assigned filling area; contacts offsite storage facility for requested records maintained offsite
  • Assumes responsibility for maintaining the highest level of confidentiality of all firm records and files
  • Assists in all other office duties as assigned
